Application Process

  1. Click on the “Apply Now” button at the bottom of the “Apply” tab of the program page in My Study Abroad
     
  2. After clicking the “Apply Now” button, you will need to complete all application components by the deadline listed. You may only apply to one program per term. 
     
  3. Upon completion of all application components, the "Submit Application" button will allow you to submit your application for review. 
     
  4. When you click "Submit Application," you will be charged a non-refundable $25 study abroad systems fee to your Illinois student account.
     
  5. After the application deadline a team will review all completed applications and nominate students for available spots in each program. ACES Academic Advisors will be consulted regarding ACES students in their Departments, regardless of program. 
     
  6. Application decisions are released within two to three weeks after each deadline.
     
  7. If nominated, you may be asked to submit an application to your host institution as well. 

Frequently Asked Questions

I received an error screen saying “Applicants are limited to the number of applications that can be created per term and year for…” What do I do?

That usually happens if you open a scholarship application before a program application. Don’t worry! It is easily fixed. Please email the ACES Study Abroad Office for assistance. 

I do not have a passport. Can I still apply?

Yes, you can still apply! In place of a passport scan, you can upload a Word document stating “I understand it is my sole responsibility to obtain a passport right away in order to participate in the study abroad program.” Please then be sure to apply for one right away! You will need it long before you actually depart. 

I am not interested in any alternate programs. Do I need to submit the Alternate Program Questionnaire?

Yes! You can put N/A if you do not have alternate program selections, but you must submit that questionnaire in order to complete your application.

Is there a benefit to applying early? Are decisions done on a rolling basis?

No, all applications are reviewed equally after the stated deadline. There is no priority consideration if you submit your application before the deadline. 

How can I make my application more competitive?

Applications are reviewed holistically, but the essays are an extremely important component! You are encouraged to make them as personal to you and specific to the program as possible. Please be sure to answer the question(s) fully, have them proof-read, and to show that you have done your research on study abroad and your program of choice.

Can I apply to more than one program?

You can only apply to one program per term (ex: one program for the spring 2027 semester). As part of the application process, you can list two alternate programs that you will be considered for if for any reason you are not offered a spot on the program you applied for. 

Can I withdraw even if I am accepted?

If you are accepted to a program, you will be given a certain amount of time to officially commit to the program. It is only after you commit to a program that you are accountable for any withdrawal fees or irrecoverable costs.

I am not in good academic standing. Can I still apply for a study abroad program?

For ACES students, this is determined on a case-by-case basis in consultation with ACES Academic Programs, your major Academic Advisor, the study abroad program team, and the college that administers the program.
