This page is for students who have been accepted to an ACES Study Abroad Program. The pre-departure process will look different for each person and each program. We recommend setting aside a dedicated window of time each week to work on pre-departure requirements. 

Note: Checking your email is essential during the pre-departure process. Make sure emails from ACES Study Abroad and your host institution are not going to “Other” or “Spam” folders.

Immediate Next Steps for all Programs

Have you committed to your program?

Please reference your acceptance/nomination letter for instructions and the commitment deadline. If you have questions or concerns, email aces-studyabroad@illinois.edu

Do you have a valid passport or have you applied for one?

If not, please do so right away and expedite the processing. You can consult the Department of State website for full instructions on how to apply for a passport. 

Do you need a visa?

Most (but not all) semester programs require a visa if the program is over 90 days. Some short-term and summer programs also require visas. ACES Study Abroad and your host institution can provide some guidance and documentation, but it is ultimately your responsibility to obtain any necessary visas prior to travel. 

When determining whether you need a visa, one helpful resource is the U.S. Department of State International Travel site. You can search by country to see if you need a visa to enter the country and/or to stay for more than 90 days. 

Do you understand the billing, scholarship, and financial aid processes?

You can review the links below to ensure you understand the financial investment and processes associated with your study abroad program.

Have you applied for all possible scholarships?

There are many study abroad scholarships available to you! Be sure to apply for scholarships through your academic college, campus, and external sources. If you would like to go over all of the scholarships you are eligible to apply for, feel free to email ACES Study Abroad. 

Have you scheduled a McKinley Travel Consult?

You can also make an appointment with your doctor or at another travel clinic. It is important to discuss vaccinations, medication, and any travel-related health questions with a medical professional!

Everyone experiences study abroad in a different way. You are encouraged to reflect on your identity and research ways that it may be perceived, celebrated, or challenged abroad!
